What a packing list has to contain
- The order/invoice number
- Full sender and consignee details
- The list of packages with an identification number per package
- Dimensions LxWxH (cm) for every package
- Net weight and gross weight (kg)
- Special markings (FRAGILE, THIS SIDE UP, KEEP DRY)
- HS code (Harmonized System) for every product
- The number of pieces per package
- Unit and total value
- Sender's signature and stamp, if requested
Recommended format
- Excel with one row per package
- PDF at the end for signature
- Agree the number of copies and format with the parties involved
Common, avoidable errors
- Unverified weights or discrepancies between the cargo and documents
- An HS code that is too generic (can lead to the wrong tariff classification)
- Not having the real dimensions (can cause the volume to be overestimated and the rate to be wrong)
- Fragile markings on the list without being physically marked on the package
